How to invite and manage collaborators

Modified on Mon, 26 Oct at 3:35 AM

Collaborators let your team work on your podcast, each with their own login. On Plus, Pro, Max and supported legacy plans, you invite them from Settings and choose what each person can do.

Roles

You're the owner of your podcast, with access to billing and payments. You can give each collaborator one of two roles.

  • Admin can manage episodes, see analytics and edit settings, including the Apple Podcasts key, YouTube settings and value4value wallet information. This role often goes to editors, social media managers, hosts and producers.
  • Analyst can only view and export analytics. This role often goes to sponsor reps, network reps and agents.

Only the owner can invite, change or remove collaborators. Deleting the podcast and setting up a redirect also stay with the owner.

How many collaborators can I invite?

It depends on your plan.

  • Plus covers up to 3 collaborators. Pending invitations also take one of the 3 seats until they expire or you delete them.
  • Pro, Max and supported legacy plans cover larger teams.

Collaborators are not part of the Free plan. If you subscribed before our current plans, All in One covers 3 and Podcast Networks covers as many as you need. Compare the plans.

How to invite a collaborator

  1. Open Settings and click Add Collaborators in the Collaborators section. Once you have collaborators, the button reads Manage Collaborators.
  2. Click Add new collaborator.
  3. Enter the person's email address, choose a role and add their name if you like. Click Save changes.
  4. The invite appears under Pending invitations, and we email the person instructions to sign up and accept. Once they accept, they move to Accepted.

Important: an invitation expires after 10 days. If someone rejects your invitation, you can't invite that email address again.

For the collaborator's side, see Accepting a collaboration invite and next steps.

How to change a role or remove a collaborator

  1. Open Settings and click Manage Collaborators.
  2. To change a role, click the pencil icon next to the person, choose the new role and click Save changes.
  3. To remove someone, click the trash icon next to them and confirm with Remove collaborator.

A removed collaborator no longer has access to your podcast.

How does the Collaborators feature work for an account with multiple podcasts?

Whether you have a couple of shows or run a full network, each collaborator only has access to the podcast you invite them to. To add one person to several podcasts, send a separate invite from each podcast's Settings.
